What a month is waiting on

Start the Monthly bookkeeping template on the first and the same seven requests are drafted under the client’s name. Put the needed-by date on all seven in one go, and send.

  • Bank statements for every account
  • Credit card and finance statements
  • Sales invoices raised in the month
  • Purchase invoices and supplier statements
  • Receipts for anything paid in cash
  • Anything paid personally, and who paid it
  • Till or takings summaries where there are any
  • Payroll for the month, once it is run
  • An answer for each transaction you have queried
  • Confirmation that nothing else was paid outside the bank
How it works

The same twelve questions, every month

One pack a month

Start the month from the included template: statements, invoices, remittances and the payroll journal. Seven requests; set the pack to repeat and it is waiting as a draft on the first.

Receipts by phone

Clients scan a QR code and photograph the receipt. It lands on the right request with the date and their name. No app, no email, no WhatsApp.

Questions with answers

"What was the £340 to Screwfix?" is a request with a status, not an email you have to find again. The answer stays with the question for ever.

Ask about a transaction where the transaction is

A query is a request of its own, with the amount and the date in it. The client answers on their phone, attaches the receipt if there is one, and the answer sits under the question rather than three replies deep in a thread nobody kept.

  • One thread per query, kept with the month it belongs to
  • Internal notes your team can see and the client cannot
  • The same question next year still has last year’s answer under it

Accept and complete

Month end as one download

When the pack is complete, download only the files that are new since last month. Statements, receipts and invoices arrive in a folder each, organised by request and named so that nothing overwrites anything, and the download itself goes on the record. The reminders stop on their own, and the folder drops in beside whatever bookkeeping software you already use.

What this is not

Docsroom collects the receipts, the statements and the answers, and hands them over as one folder. It does not post anything to Xero, QuickBooks or VT, it does not code a transaction, and it does not do the bookkeeping. It closes the gap before the bookkeeping starts, which is where the month usually goes.
