Solutions / HR and onboarding

Day one, and nothing is missing.

A new starter gets one link. Right to work, bank details, emergency contact, the signed contract, the policies they have to read. You see the board and know which of the six people starting in October still has not sent a passport.

The list

The new starter list

The New starter template, started per person. It takes about a minute to send and it does the chasing itself.

  • Right to work: passport, share code or biometric card
  • Proof of address where the role needs a DBS check
  • Bank details for payroll
  • National Insurance number
  • P45 or new starter declaration
  • Emergency contact and next of kin
  • Signed contract of employment
  • Read and accepted: handbook, IT and data policies
  • Qualifications where the role needs them
  • Driving licence where the role needs one
How it works

Before day one

The list does the chasing

A reminder goes to the starter on a schedule you set, listing only what they still owe. When they finish, it stops. Nobody in HR has to remember.

Six starters, one action

Choose the template and tick the six people. Six packs are drafted, one per person. Send them and the board shows all six side by side.

Nothing sits in a personal inbox

A passport photograph belongs on a record, not in an email to whoever happened to be recruiting. Every file is attached to the request that asked for it.

Structured answers, not attachments

Bank details, National Insurance number and emergency contacts come back as fields you can read and export, not as a photograph of a form somebody printed and filled in with a biro.

  • Answers export as CSV for payroll
  • Each submission carries the person and the time
  • Only the people you choose see a starter’s file

Leavers and changes too

The same shape works for a leaver, a change of role or an annual policy re-acceptance. Roll a pack forward to next year and it comes back as a draft, empty and ready to send, with last year’s answers still on the record.

Policies everybody accepts

Every April · 34 people

Handbook, data protection and the code of conduct. Set once; each April it comes back as a draft to send, and the reminders do the chasing.

On right to work checks

Docsroom records what the person sent, when it arrived and every download since. It does not carry out the check, does not use the Home Office online service on your behalf and does not give you a statutory excuse. It gives you the evidence, dated, in one place, so that doing the check properly is the only thing left to do.
