Docsroom is small on purpose. It does one job, collecting documents, answers and sign-offs from other people, and does each piece of that job properly.

The list

What you ask for

A client, a pack, a request. Everything else hangs off those three.

Clients and request packs

Each client gets a room of their own, whether that is a customer, a new starter, a property or your own family. Inside it, a request pack is one piece of work: a new starter’s first week, a house sale, a year end. It reads top to bottom like the list you would have written by hand.

  • Rename sections, drag requests between them, delete with a warning
  • A pack is draft, active or completed; only active packs send reminders
  • Client name, reference and notes editable at any time

Six kinds of request

Most of what you ask for is one of six things. Naming the kind tells the other person what a good answer looks like before they read a word.

  • Question: a written answer, for example who may collect a child or what a payment was for
  • Upload: one or more files, such as a passport or bank statements
  • Decision: a choice they have to make, such as which quote to accept
  • Approval: a yes to something you have prepared, such as a contract or draft accounts
  • Table: one row per employee or item, with totals, for hours or a stock count
  • Form: typed fields, some required, for a new starter, a new client or a child joining a nursery

A conversation on every request

Each request has its own thread. Replies carry attachments, either side can edit a reply they wrote, and completing a request is a button rather than a sentence someone has to notice.

  • Drag and drop, batch select, photo library or camera
  • Edits keep the original date and are marked as edited

Ask for clarification

An answer is not always the one you needed. Ask for clarification sends the request back with a short note saying what is missing, and it waits for a reply again.

  • Your note shows on the request, on both sides, until they answer
  • Whoever the request is assigned to is emailed your note, with a private link straight to it
  • The note also goes into the request’s conversation, so the reason stays with it

How the answer comes back

From a phone, from the right person, and through an email you have read before it goes.

Upload from a phone

Receipts live in pockets and glove boxes. Upload from a phone shows a QR code tied to that one request; the phone opens a page with a camera button and nothing else. The link is private and stops working after 30 minutes.

  • Works for your team and for the people you ask
  • Photos land in the request’s thread like any other reply
  • Mark the request complete from the phone when done

Delegation that keeps its history

Not every request lands with the right person. An assignee can pass it to anyone else on their side, and Not mine sends it back to whoever delegated it.

  • Assign one request or a whole selection at once
  • Reassigning a request revokes any links emailed for it
  • Each person sees only what is assigned to them

Any pack can become a template. Starting from one copies its sections, wording, request kinds and priorities into a new pack for the client you choose, ready to assign.

Emails that look like you meant them

Select requests and choose Email. Each person receives a boxed email with the requests that are theirs and a button that opens their list on that request, with no password. You see the actual email before it goes.

  • Sent from your own domain through Resend
  • Every emailed link is scoped to its request and lasts 30 days
  • Prepare reminder drafts an email in your own mail app instead

What they see, and what you keep

The portal carries your name. Every download carries a date and a person.

Your name in front of the people you ask

Set your own name and logo once, and they stand at the top of the portal they answer in, the phone upload page and the sign-in page. Emails end with your name rather than ours, and replies go where you choose.

  • PNG, JPEG or SVG logo up to 512 KB, with a preview and one click to remove
  • Every notification names the person, the request and the client it belongs to, and links straight to the request
  • Nothing you do yourself notifies you

Download files opens a review page rather than a ZIP straight away. Choose everything, only what is new since your last download, or only what existed at that cutoff. Each completed archive is recorded with its file count and who took it.

Find anything, and see what is late

Press Cmd+K from any page and type two letters. Clients, packs, requests, people, files and templates come back grouped, and Enter opens the one you wanted.

  • Six result groups, exact-prefix matches first, arrow keys and Enter
  • Overdue figure, Overdue filter and "Overdue by 3 days" chips on every pack
  • A status report per client to print or download as a CSV

Work that comes round again

Monthly payroll inputs, a quarterly check-in, a yearly renewal: set a pack to repeat and it rolls itself forward on the day, as a draft with the period in its title. Nothing goes out until you send it.

Your account and your team

Every member of staff has their own sign-in and a Settings page for it: name and email, password, two-factor authentication and every place they are signed in. Admins see the Team page and the backups. None of it touches clients, who use links.

  • Two-factor authentication with an authenticator app and eight recovery codes; the Team page shows who has it on
  • Where you are signed in lists every session with its device and dates; Sign out other devices ends all but this one
  • Admins add people, resend an invitation, remove someone, and can remove two-factor for a colleague who is locked out, each recorded under their name
