Four tenants, one tenancy, four separate lists.

A house share means four people who each owe you different things and none of whom should see the others’ payslips. Each tenant gets their own link into the same tenancy, and you see one board showing who is holding the move-in date up.

The list

What a move-in waits for

Build a tenancy template once and start it for each new let, and every tenant gets the same list under their own name. Guarantors get a shorter one.

  • Right to rent: passport, share code or biometric card
  • Proof of current address
  • Employer reference and contract
  • Three months of payslips or bank statements
  • Previous landlord reference
  • Guarantor identity and income
  • Signed tenancy agreement
  • Standing order or direct debit set up
  • Deposit paid and protected
  • Signed inventory at move-in
How it works

How a tenancy is held

A share code is a question, not a file

Right to rent share codes are nine characters, not a document. Ask for one as a plain question and it sits in the record with a date beside it.

Nobody sees anybody else’s payslips

Requests are assigned per person. A tenant opens their link and sees their own list, never the household’s.

The inventory has two ends

Send it at move-in for agreement, and again at move-out beside the first one. Both are in the same room, dated, with the photographs attached.

One board for every tenancy you are moving in

Across every property, the dashboard shows what is outstanding and who owes it. On a Monday morning you can see which move-in is short of a guarantor reference without opening a single file.

  • Filter by tenancy, by person or by what is overdue
  • Due dates set in bulk when a move-in date moves
  • Export the lot as CSV

Photographs from a phone, in the right place

A tenant scans a code and photographs a passport, a meter reading or a damaged worktop. It uploads straight onto the request that asked for it, from their camera, without an app.

On right to rent

Docsroom stores what the tenant sent, the date it arrived and every subsequent download, and gives you a dated export. It does not perform the check for you, does not validate a share code with the Home Office, and does not establish a statutory excuse on your behalf. Those steps stay with you.
