Intake finished before the first appointment.

One room per matter. The client uploads identity and source of funds, answers the questions your risk team needs, and signs off the retainer, all before they sit down with you. What arrives is on the file, dated, with a history.

Intake, as a list

The Client intake (legal matter) template covers the common ground, and a conveyancing sale has a template of its own. Probate, family and immigration start from intake and add their own.

  • Photo identity and proof of address
  • Source of funds and source of wealth
  • Signed client care letter and terms
  • Completed matter questionnaire
  • Any existing wills, deeds or agreements
  • Correspondence with the other side
  • Details of any other adviser involved
  • Authority to act, where a third party is instructing
How it works

How a matter is held

A room per matter, not per client

A client with three matters has three rooms. What belongs to the conveyance stays in the conveyance, which is what your file review expects.

The thread is the attendance note

Every question, answer, file and change is one dated line under the request it belongs to. Nothing depends on somebody remembering to save an email to the matter.

Handover without losing the history

Move a matter to another fee earner and the room goes with it. The client’s link keeps working and the record does not restart.

Disclosure, in an indexed room

For a matter with a bundle, the room is indexed and shared read only with the other side. Questions come back as requests you can answer privately, and every download is logged against the party that took it.

  • An index the other side can work through
  • Questions private to the party asking
  • Terms of access accepted before anything opens
  • The whole bundle downloads as one ZIP

What the client sees

Your name at the top, their matter, and a short list. No account, no password, no portal registration email that goes to spam. They upload a passport photograph from a phone and it lands on the file.

On client due diligence

Docsroom holds the evidence, the date it arrived, who provided it and every download since, and exports that as a dated record for the file. It does not verify identity, does not run electronic ID checks and does not form a view on risk. Those remain matters for your firm and your MLRO.
