Solutions / Nurseries and early years

An enrolment pack a parent can finish at 10pm, on a phone.

One room per family, one pack per child. The parent works through the child, the carers, who may collect, health, consents and documents, and it saves as they go. Health answers are seen only by the staff you give that family to.

What an enrolment actually needs

The Nursery enrolment template starts with all of this in it. Delete what you do not use, add what your setting asks for, then start it for every new family.

  • Birth certificate
  • Proof of address
  • Funded hours eligibility code
  • Immunisations to date
  • Allergies, medication and additional needs
  • Who may collect, and a collection password
  • Emergency contacts in order
  • Consents: photographs, outings, sun cream, first aid
  • Doctor and health visitor
  • Home languages and dietary requirements
How it works

What the pack does with an answer

The privacy note comes first

Before any question, the pack says what the information is for, who sees it and how long it is kept. It is in the template and you edit it to match your own privacy notice.

Staff see the families you choose

Allergies, medication, immunisations and additional needs are there in full for the staff who need them. Give each member of staff every family, the families you choose, or only the requests allocated to them.

Consents are answers, not signatures

Photographs for learning journals, photographs on social media, outings, sun cream, first aid. Each is a yes or no the parent can come back and change.

Who may collect, and the password

The collection section names everyone allowed to collect, sets a password for anyone unexpected at the door, and lists emergency contacts in order. It is required before the pack can complete, and it is the section your room staff will open most.

  • Nursery enrolment and in-year school admission templates included
  • Birth certificate and proof of address sent as photos from a phone
  • Funded hours code as a plain question, not a form field

A word on Ofsted

Docsroom is where the record lives and when it arrived, with a dated history for every change. It is not a nursery management system and does not replace one: it does not do registers, ratios, funding claims or learning journals. What it does is make sure the file you need at an inspection is attached to the question that asked for it, rather than in somebody’s inbox.

Try it with your own enrolment form.

Free for 14 days, no card. Send us your form and we will map it onto the template.
