What the office chases every term

The School admission (in-year) template is built in. A residential trip and a staff file are two more you build once from the same kinds of question. The first eight lines below go to parents; the last two are the staff side of the same job. Start any of them for one person or for a whole year group.

  • Proof of address and proof of age
  • Previous school and any records held
  • Medical conditions, medication and care plans
  • Dietary requirements and allergies
  • Consent for photographs, and for online publication
  • Trip consent and emergency contact abroad
  • Passport and expiry for a residential abroad
  • Home languages and any EAL support
  • Staff DBS certificate number and issue date
  • Right to work and qualifications for the central record

What happens to a form

Medical answers reach the right staff

Conditions, medication and care plans are there in full for the staff who need them. Give each colleague every family, the families you choose, or only the requests allocated to them.

A whole year group at once

Pick the template and tick the pupils. Up to two hundred packs are drafted in one action, one per child, and you name the parent on each before it goes.

You can see who has not

The board shows outstanding by pupil. The reminder goes only to the parents still owing something, and stops for each one as they finish.

Consent that can be withdrawn

A parent can go back and change a consent while the request is open, and the change is dated. Once the office has checked it off, the parent asks and you reopen it. That is a better record than a signature on a form in a filing cabinet, and it is what a parent will ask you for.

A staff file is the same idea pointed inwards: DBS number and date, right to work, qualifications, references, safeguarding training. One list per member of staff, with what is missing visible.
