How a room is put together
A room per property, not per person
A sale has two buyers, two sellers, two solicitors and a chain. They all sit in one room, each on their own link, each seeing only what is theirs.
Photographs of documents are fine
Most people photograph a licence rather than scan it. The request takes a phone photo through a QR code and records what arrived, when and from whom.
The file cannot arrive on its own
A document is always attached to the request that asked for it. Six months later the audit trail still says who provided it and which sale it belonged to.
Chase the buyer, not the vendor
Reminders are set per person, and they list only what that person still owes. When the last item on their list is answered the reminders stop, so nobody is chased for something they sent a fortnight ago.
