Solutions / Accountants

Year end starts when the records arrive.

Year ends, VAT quarters, payroll changes, new clients. The same twenty questions, to a hundred clients, four times a year. Docsroom asks them once, chases on your behalf, and keeps the score.

What a year end waits for

Save your year end as a template, start it for a client, and the whole list is drafted under their name. Split it between the director and whoever keeps the books, then send it.

  • Bank statements for every account, to the year end date
  • Loan, hire purchase and finance agreements
  • Stock or work in progress at the year end
  • Invoices for anything bought outright
  • Explanations for the transactions you have queried
  • Anything paid personally, with the receipt
  • Dividends, and movements on the director’s account
  • Last year’s figures, where the client is new to you
  • Payroll year end and the pension position
  • Approval of the accounts, and of the tax return
How it works

The packs that come round again

Year end

A fourteen-request pack with due dates, split between the director and the bookkeeper. Approvals for the accounts and the tax return live at the bottom of the same list, so nothing is filed without a yes on record.

VAT

Send the checks two weeks before the deadline. The draft return is attached to the last request once the others are answered, and the approval is a button, not a sentence in a reply.

Onboarding

Identity documents, UTRs, the previous accountant’s details and a signed engagement letter, with the identity items high priority. Photo ID comes in by phone in under a minute.

Built inside a firm, for its own clients

Docsroom started inside an accountancy firm, for its own clients, before it became a product for anyone who needs documents from other people. Every feature exists because a real client thread went wrong: the request that got lost, the bank statement that arrived on WhatsApp, the reminder nobody sent.

  • Request packs mirror the working papers you already keep
  • A download organised by request drops straight into your file
  • The activity trail is what you show when a client says they sent it

The next quarter raises itself

A VAT pack is the same nine questions every quarter. Roll it forward and this quarter’s comes back as a draft, empty and ready to send, with last quarter’s answers still on the record beside it, so the client can see what they told you in March.

On the 7th of the month after each quarter end, rolled forward as a draft: same requests, same people, new dates.

What this is not

Docsroom collects the records and keeps the dates. It is not bookkeeping software, it does not file anything with HMRC or Companies House, and it does not prepare the accounts. It sits in front of whatever you already use, so that the work starts with everything to hand rather than four emails short.

Try it on your longest thread.

Free for 14 days, no card. Build the pack in ten minutes and see what comes back.
