Every renewal needs the same information, most of which the client gave you last year. Roll last year’s pack forward, ask only for what has changed, and spend the three weeks placing the risk rather than chasing a turnover figure.

What a commercial renewal waits for
One template per class. A fleet renewal and a professional indemnity renewal have almost nothing in common except the deadline.
- Turnover and wageroll for the coming year
- Any change to activities or trade
- Updated property values and sums insured
- Full claims experience, including nil declarations
- Vehicle schedule and driver list for a fleet
- Contractor and subcontractor arrangements
- Risk survey actions, and whether they were completed
- Signed proposal form and statement of fact
- Details of any circumstance that might become a claim
Through a renewal
Last year’s list comes back
Roll the pack forward and last year’s list comes back: the same questions, the same table rows, the same people, dates moved on a year, every answer blank. The wording you settled on last year is still the wording that goes out.
A deadline that does not move
Renewal dates are fixed. Put the needed-by date on each request and it chases three days out and again on the day. Set a reminder schedule as well and each one lists only what that client still owes.
The file explains itself
Every answer, every document and every chase sits under the question that prompted it. At the point of a claim dispute, that record is the whole argument.
Non-disclosure is a record problem
When an insurer says a material fact was not disclosed, what you need is a dated record of exactly what you asked and exactly what the client answered. That is what a request thread is.
