Certificates, and who owes them
The yearly round, and the rest
A gas certificate is annual: set the pack to repeat yearly and every request in it comes back round. A five yearly fixed wiring test fits no monthly, quarterly or yearly round, so it carries a needed-by date instead, and the date chases.
Chase the contractor, not the leaseholder
The person who owes you the certificate is the contractor. They get a link, they upload, and the record is in the block’s room rather than an engineer’s van.
A service charge query is a download
When a leaseholder asks what they paid for, the evidence is already attached to the item it evidences. The pack downloads as one ZIP.
One board across every block
Forty blocks and two hundred certificates is a spreadsheet nobody trusts. Here it is a list of what is overdue and what is due next month, sorted by date.

The certificate lands where it belongs
A contractor photographs or uploads the certificate against the request that asked for it. It cannot arrive detached from the block, the appliance and the date it covers.

Where the checking stops
Docsroom holds the certificate, the date you typed against it and the round it comes back on. It does not decide whether a certificate satisfies the regulations, does not instruct the contractor, and is not service charge accounting software. It is the date list and the evidence behind it, which is usually the part that goes wrong.
