Due dates and overdue requests
A date on a request is a promise you can see slipping, before the deadline does.
Setting a date
Every request has an optional Needed by date. Set it when you add the request, or later with Edit request under Request options. The person you asked sees it as “Needed by 12 Sept 2026” under the request title and in their list; once the day has passed it reads “Was needed by 12 Sept 2026” in the late colour.
To date many at once, tick the requests you mean in the pack. A bar appears along the bottom with the number you have chosen: open More on that bar and pick Set date, or Clear dates to take the date off all of them. On All requests the same job is done with Needed by for selected on the bar itself.
What overdue means
A request is overdue when its date is before today, in UK time, and it is not yet complete. A request that has been answered but you have not checked is still overdue: the date was for the work being finished, not for a reply. A request marked complete, or one the other person has said they cannot provide, is never overdue, whatever its date.
Due soon means the date is today or within the next seven days, under the same rule.
Where it shows
- Request packs: the Requests filter has Overdue, which narrows the list to the packs with something late in them.
- Request pack: a chip on each late request reading “Overdue by 3 days”. Requests due today or within two days carry a quieter “Due tomorrow” chip.
- Request page: the same chip sits beside the Needed by date under Details.
- Status report: the Needed by column carries the same chip, so a printed report shows what is late.
- Calendar feed: every open request with a date appears in your own calendar; see Settings and your account.
Late is not broken. Overdue is drawn in its own colour, separate from the red Docsroom keeps for something that has gone wrong. A late request needs chasing, not fixing.
Every request in one list
All requests in the left-hand rail lists every request across every client, fifty at a time, with a button at the foot for the next fifty. Type a word from the title, the pack or the client, and open Filters to narrow by status, by due date (overdue, due this week, anything with a date), by client, or to your own clients. Sort by is in there too: soonest needed-by, most recently updated, client then pack, or title. The filters are held in the address, so a list such as everything overdue can be bookmarked or sent to a colleague.
Open a row and you are on the request. The dots menu beside Filters has Export CSV, which gives every matching row as a spreadsheet, each with a link back, in the order on screen. Tick rows and a bar completes, reopens or dates the selection together, whichever client each request belongs to; Undo beside the notice puts every request back exactly as it was.

Links nobody opened
Team in the left-hand rail has a Client contacts tab, and inside its Filters, Show narrows to Link not opened or With something overdue. Nothing has failed; the person may simply not have seen it. A client’s Email history, under Client actions, shows which emails are Not opened yet, so you can decide whether to phone, check the address or send again.
Chasing
Switch on Needed-by reminders under Settings, then Branding & defaults, and Docsroom emails each person three days before a date and again on the day, listing what is still due. See Scheduled reminders.
From All requests filtered to overdue, open the request and choose Email request to send a fresh link, or set up scheduled reminders on the client’s People tab so Docsroom chases for you every few days until the request is answered.
