Templates

Read a template before you use it, then start a pack from it in two clicks.

The list

Choose Templates in the left-hand rail. Nine come with Docsroom, from a new starter and a nursery enrolment to a data room; what each one asks for is on the request packs page. Any pack you have built can join them: open the pack, choose Save as template under Pack options, and it appears in the list, ready to start for anyone.

Reading a template

A row in the list opens the template’s own page. It shows the description, then each section and every request in it, read-only, with how the request is answered: Files, Table, Form, Written answer, Decision or Approval. Where a request has acceptance requirements, such as the document needed or the period it must cover, they are shown, and so is any help text the person answering will see. Nothing on the page can be edited and nothing is sent, so you can open a template to check its wording as often as you like.

Using it

Use template on the template’s page, or Use template on its row in the list, opens a picker for the client and the title of the new pack, then starts the pack. It copies the sections, wording, request kinds and priorities; you assign people and dates in the pack itself. See Getting started for what happens next.

Templates never send anything by themselves. Starting a pack from one creates a draft pack and nothing else. Nobody hears about it until you send the pack or create a link.

Changing a template

Open a template and choose Edit template under Template actions, the dots menu beside the title. It opens in the same editor a pack does: rename it, add or reorder sections and requests, change the wording, the acceptance requirements or the answer format. Delete template sits in that editor’s Pack options. The nine that come with Docsroom can be edited too, so “our new starter” can start life as the built-in one. Packs already started from a template are not changed; the next one you start carries the edit.

The same pack for several clients

Forty new starters, forty families enrolling or forty tenants do not need forty visits. Choose Use template, switch to Several clients, tick the clients or press Select all, which names the number it will tick, give them all one title, and one draft pack per client is created. Open each and press Send pack, or let them repeat from then on. A client who already has a pack of that title is skipped, and the dialog says how many.

The same pack again next period

A pack you run every month or quarter does not need a template. Open it, choose Pack options, then Roll forward to a new period. Give the new pack its title, say whether each request should stay with the same person, and whether the needed-by dates should move on by a month, a quarter or a year, or not be copied at all. You get a draft pack with the same sections and requests, every one back to awaiting, with no replies or files carried over. The old pack is untouched.
